FHC-XX | Arrow Email Domain Management | June 26, 2024 | Basic |
This article describes a new domain management feature that centralizes the management of email domains associated with your Forth CRM account. It is broken down into the following sections:
Overview
This feature provides flexibility and ensures email communications security by limiting domains within the Forth CRM to verified domain owners.
Accessing Domain Management
Accessed via the “Settings” page via the “Admin” tab, a new “Domain Management” page has been created to manage domains. This page is accessible only by the controlling company (the highest-level company in the account). This centrally located page lists all available domains (if set) and allows the creation and removal of new domains. The Domains table on this page (see image below) provides the Domain name, Domain Verification Status, a Verify Button (if the domain is unverified), and a Trash button to delete a domain.
Adding Domains
To add a new domain, click the “Add a Domain” button in the upper right corner of the page. The system will then ask the user to input the domain name (see image below).
NOTE: Subdomains and any other file paths outside of /are not allowed. The user must demonstrate ownership of the top-level domain.
When the domain name is input, a dynamically generated 50-character-long TXT record is presented. The structure of the TXT record is shown in the example below.
forth-domain-verification=ighLJsgsoqviWMAgUu0qNW5t
The first 26 characters of the TXT record will be “forth-domain-verification=”, followed by a random alphanumeric 24-character unique domain identifier. Domain identifiers must be unique across all domains, past and present, and cannot be reused.
The user must copy this TXT record and paste it as a new TXT record via their DNS manager at their web host (outside the Forth software).
Verify Domains
They then come back into the system and click the “Verify” button, which launches the process of checking this information.
The user may save and finish verification at a future time. The domain is placed in an “unverified” status, and the user can come back to the page and copy the domain verification TXT record above. NOTE: The TXT record will not be regenerated the next time the user visits the page.
If the TXT records match the stored value and what is returned via the DNS check, the domain status is updated to ”Verified.”
IMPORTANT: If you have recently added a domain, it can take up to 72 hours to be verified. If your domain is not verified 72 hours after adding the TXT record in your DNS manager, please re-attempt domain verification.
