This article describes how to track signed contract versions within the FORTH CRM. It is organized into the following sections:
Overview
When consumers update their debt enrollment, multiple versions of a contract may be generated. This feature ensures you can immediately identify the most recent, legally binding document without manually sorting through files or guessing which version is active.
By automatically displaying the exact signing timestamp for documents, the system reduces the risk of referencing outdated information.
How to Access
To view the updated contract tracking information, follow these steps:
- Log in to the FORTH CRM.
- Search for and select a specific Contact record.
- Navigate to the Uploaded Files section within the contact dashboard (see image below).
How it Works
The system now automatically prioritizes the "signing date" over the "upload date" for electronic contracts.
- Locate the New Column: In the file list, you will now see a column labeled Date Signed.
- Identify Signed Contracts: For any document signed via Clixsign, the Date Signed column displays the exact timestamp the consumer signed the document, even if the file was processed by the system later.
- Standard Files: For regular uploads (such as IDs or bank statements), the Date Signed column will match the date the file was first uploaded to the CRM.
- Sort by Recency: Click the Date Signed column header to sort your files. This allows you to bring the most recently signed contract to the top of the list instantly.
- Verify Versions: If a consumer has signed multiple contracts, compare the timestamps in the Date Signed column. The latest timestamp represents the current version of the agreement.
- Primary Sort (1): The table is first sorted by Date Created.
- Secondary Sort (2): If two documents have the same 'Date Created,' the system uses Date Signed as a 'tie-breaker' to decide which one shows up first.
If you click any individual column header, the multi-sort will clear, and those numerals will disappear.
