| FHC-DOM-01 | How to Manage and Verify Email Domains | July 06, 2026 | 0.4 |
This article describes the new domain management feature within the FORTH system. It is targeted for Admin users belonging to the controlling company (the highest-level company account in the system).
The article is organized into the following sections:
Overview
Centralizing your email domain management ensures secure and trusted email communications. The FORTH CRM is restricted to only sending emails from verified domain owners. By managing your domains in one location, you protect your brand reputation, reduce delivery errors, and maintain strict control over company communications.
Prerequisites
You must have Admin role permissions and belong to the controlling company (the highest-level company in your account hierarchy).
How to Access
- Log in to the FORTH CRM.
- Navigate to Admin > Settings > Domain Management.
How it Works
Add and Verify a Domain
-
On the Domain Management page, click Add a Domain in the upper-right corner of the page.
-
Enter your domain name in the Domain Name input field.
NOTE: Subdomains and any other file paths outside of /are not allowed. The user must demonstrate ownership of the top-level domain.
- When the domain name is input, a dynamically generated 50-character-long TXT record is presented. The structure of the TXT record is shown in the example below.
forth-domain-verification=ighLJsgsoqviWMAgUu0qNW5t
- The first 26 characters of the TXT record will be “forth-domain-verification=”, followed by a random alphanumeric 24-character unique domain identifier. Domain identifiers must be unique across all domains, past and present, and cannot be reused.
- Copy the dynamically generated 50-character TXT record string provided by the system.
- Log in to your external web host's DNS manager at their web host (outside the FORTH software) and paste the copied string as a new TXT record.
-
Return to the FORTH CRM Domain Management page.
- Click Verify next to the unverified domain to start the validation check (see red highlighted are in the image above).
IMPORTANT: If you recently added a domain, it can take up to 72 hours to be verified. If your domain is not verified 72 hours after adding the TXT record in your DNS manager, please re-attempt domain verification.
Delete a Domain
- From the Domain Management page, click the small trash can icon in the corresponding row.
- You will be met with a pop-up confirmation that requires you to type in the domain to delete (see image below). This confirmation has in-line verification to an exact match of your domain (example.com) before allowing the delete button to be clicked.
- Upon Deletion, the domain is removed, along with the stored TXT record value token (in case they want to re-add the domain later).
Troubleshooting / FAQ
- Can I add subdomains or specific file paths? No. You must demonstrate ownership of the top-level domain. Subdomains and file paths outside of the root directory are not allowed.
- What happens if I cannot complete verification right away? You can save your progress and finish verification later. The domain will remain in an "unverified" status. FORTH saves your unique TXT record, so it will not change or regenerate when you return to the page.
- My domain status is still unverified. What should I do? DNS changes can take up to 72 hours to propagate across the internet. If your domain remains unverified 72 hours after adding the TXT record to your DNS manager, re-attempt the domain verification steps in FORTH.
