| FHC-CLX-05 | How to Automate Document Expiration Dates in Clixsign | October 23, 2026 | Basic |
This article describes how to set predefined expiration dates for document templates and packages within the FORTH system. It is organized into the following sections:
Overview
Manually entering expiration dates for every document request increases administrative workload and risks sending outdated agreements.
You can set expiration durations directly on templates or packages to automate this workflow. Predefining these settings locks in the expiration duration, preventing clients from signing outdated versions. This automation enforces consistency across your organization and reduces manual entry errors.
Prerequisites
- Super Admin user role
How to Access
- Log in to the FORTH CRM.
- Click the Docs tab.
-
On the Document Creator page, determine if you are creating a new or updating an existing Template or a Package.
- For this example, click the New Template dropdown and select New PDF Template (bottom left of the image above).
-
Scroll down to the Clixsign Expiration Request field.
How it Works
- In the Clixsign Expiration Request field, enter the number of days (in numerals) that the document should remain active (e.g., 7, 14, or 30).
- Click Save in the navigation bar to save your changes.
- The FORTH system will then automatically apply the expiration date according to the following rules:
- Package Level: If an expiration is set here, it applies to all documents within that package.
- Template Level: If no package expiration exists, the system uses the expiration set on the template.
- Global Settings: If neither is set, the system defaults to your global Clixsign settings.
NOTE: If you hover over a locked date, you'll see the message: "Expiration date is locked by the selected template/package level settings and cannot be modified."
Troubleshooting / FAQ
Why is the expiration date field greyed out during document generation?
The expiration date field locks automatically when an expiration duration is defined on the template or package level. Hovering over the locked field displays the message: "Expiration date is locked by the selected template/package level settings and cannot be modified." To adjust the duration, update or remove the expiration setting on the template or package directly.
