This article describes the Payment Status filtering capabilities within the FORTH CRM system. It is organized into the following sections:
Overview
FORTH CRM Users can generate targeted outreach lists based on a client's payment history. By using the new multi-select filter in the List Builder, users can isolate contacts who have specific payment outcomes, such as cleared transactions or failed payments. This feature saves time by eliminating manual data sorting and ensures your communication reaches the right audience at the right stage of their payment cycle.
Prerequisites
To use this feature, the user must have:
- An active user account with permissions to create or edit Contact Lists.
- Access to the List Builder module.
How to Access
- Log in to the FORTH CRM.
- Navigate to the Contacts menu and select List Builder.
- Locate the Payment Status multi-select box in the header, to the left of the Share With field (see image below).
How it Works
The Payment Status filter allows you to select one or multiple statuses to narrow down your contact list. The system scans transaction history - including ACH, Credit Card, and Check payments - to find matching records.

Click the Payment Status dropdown menu (see the red arrow in the image below).
- Select one or more of the following options:
- Cleared: Includes contacts with successfully processed payments.
- Pending: Includes contacts with payments currently in progress.
- Return/NSF: Includes contacts with failed or bounced payments.
- To select multiple options, hold the Ctrl key (or Command on Mac) while clicking your choices.
- Leave the field empty if you do not wish to filter by payment status; the system will include all records by default.
- Click Generate List to view the contacts that match your selected criteria.
- Click Save List to preserve your filters. The system automatically saves these specific payment status selections for the next time you open this list.
IMPORTANT: If you do not select any options in the Payment Status box, the system will not apply a payment filter, and all contacts will be included in the results regardless of their transaction history.
