This article explains the functionality of the "Debts" Report, available via the Creditors tab in the FORTH CRM. This article is organized into the following sections:
Overview
This report pulls data from creditors' debt records and provides details on all debts held by a specific creditor.
How to Access
- Click on the Creditors tab.
- Click Debts Report in the navigation bar, as shown in the image below.
The Debt Reports page will then open.
How to Use
1. Select an existing report from the list shown on the left side of the page, or click Create New Report (found in the navigation bar at the top left of the page) to create a new Debt report (see image below).
2. A "Customize Report" page then opens (see image below), providing fields at the top of the page for a report title, the date format you prefer (For example - Mar 22 2025, March 22, 2025, 03/22/2025, 3/2/25, or 20250322) as well as the number of listings you prefer on each page of this report.
3. Organize the fields under the "Fields to Show On Report" header to add or eliminate fields you wish to be shown on this report. Each field listed in this section may be dragged up or down to determine the order in which they appear in your report. In addition, only "checked" fields will appear on the report when it is run. These fields will determine what data is displayed.
4. The Filters section (middle of the page), offers an extensive list of filters by which you can create the a debt-related report. This extensive list of filters determines how the data is displayed.
Report Filters
Filters (displayed on the center-left side of the edit page) set conditions for a transaction to appear on the report you are building. It is best to start with as few filters as possible and then add more as needed. This prevents you from adding too many filters and causing the report to display a blank table.
File Type - File Type of contacts the transactions are from. It is not necessary to use this if you operate using a single file type.
Gateway - Transactions from Contacts assigned to the payment gateway selected. Select a single payment processor or check multiple boxes to combine your gateway data.
Created By - Transactions from contacts Created By the user selected.
Assigned To User - Transactions from contacts Assigned To the user selected.
Offer Status - Transactions from contacts with a particular offer status. Check individual statuses, choose multiple options, or select all choices to narrow down your report criteria.
Assigned To Users Of Team - Transactions from contacts Assigned To users on the Team selected.
Assigned Company - Transactions from Contacts assigned to the company selected.
Marketing Company -Transactions from Contacts assigned to the Marketing Company selected.
Servicing Company - Transactions from Contacts assigned to the Servicing Company selected.
Law Firm - Transactions from Contacts assigned to the Law Firm selected.
Lead Vendor - Transactions from Contacts assigned to the Lead Vendor company selected.
Partner - Transactions from Contacts assigned to the Partner company selected.
Assigned Company - Transactions from Contacts assigned to the Company selected.
Vendor - Transactions from Contacts assigned to a Vendor company selected (not Lead Vendor).
Independent Sales Office - Transactions from Contacts assigned to the Independent Sales Office selected.
Assigned Attorney - Transactions from Contacts assigned to the Attorney selected.
Contact Status - Allows you to filter by a contact's particular status.
Contact State - Allows you to filter by a contact's particular state.
Program - Filters transactions of contacts by the used Enrollment Plan.
Data Source - Allows you to filter by a predetermined data source.
Campaigns - Allows you to filter by predetermined campaigns.
Client Enrolled - Allows you to filter by whether a client has been enrolled in a program.
Client Enrolled Date - Filter by the calendar date that the client was enrolled in a program.
Was Enrolled - Filter by whether the client was enrolled in a program in the past.
Submitted - Filter by whether or not the client's enrollment was submitted.
Client Approved - Filter by whether or not the client was approved.
Client Rejected - Filter by whether or not the client was rejected.
Client Dropped - Filter by whether or not the client was dropped.
Client Paused - Filter by whether or not the client was paused.
Client Graduated - Filter by whether or not the client has graduated from the program.
Gateway Hold - Filter by whether or not the client is on a gateway hold.
Gateway Authorization - Filter by whether or not the client has gateway authorization.
Debt is Enrolled? - Allows you to filter whether the debt has been enrolled in a program.
Debt is Settled? - Allows you to filter whether the debt in question has been settled.
Has Offers? - Allows you to filter whether the debt has an offer.
Whose Debt - Allows you to filter based on the owner of the debt.
Debt Status - Allows you to filter based on the status of the debt.
Debt Types - Allows you to filter based on the type of debt.
Has Summons - Allows you to filter based on whether a legal summons has been issued about this debt.
POA Sent? - Allows you to filter by whether or not the POA was sent.
Modified Date - Select a date range in which the debt's date was modified.
Verified Date - Select a date range in which the debt's date was verified.
Last Status Date - Select a date range in which the debt was in the most recent status.
Settlement Date - Select a date range in to filter by the date of the Settlement
Debt Enrolled Date - Select a date range in which the debt was enrolled in a program.
Debt Dropped Date - Select a date range in which the debt was dropped from a program.
Debt Added Date - Select a date range in which the debt was added to a program.
Debt Removed Date - Select a date range in which the debt was removed from a program.
Creditor - Allows you to filter by Creditor.
Creditor Type - Allows you to filter by Creditor Type.
Debt Buyer - Allows you to filter by buyer of the debt.
Original Amount - Allows you to filter by less than or more than the original amount.
Current Rate - You can filter by less than or more than the current rate.
New Rate - Allows you to filter by less or more than the new rate.
New Payment - Allows you to filter by less or more than the new payment amount.
Current Amount - Allows you to filter by less than or more than the original amount.
Verified Amount - Allows you to filter by less than or more than the original amount.
Payments Made - Allows you to filter by a date range in which the payment may have been made.
5. After completing your filtering, click Save Report located at the top right of the page.
6. Your new report will now be available from the left side of the page as shown by the example of a "Settled Debts" report below.
7. You can export the report shown on the page above, either in the current view or with all possible fields available, by clicking Export Current View or Export Full Report, respectively.
8. To email this report directly to another user within the CRM, click Email Report in the toolbar (see the red highlighted area in the image above). The following dialog box will then open for you to write and then send your email message with this report attached.
Troubleshooting / FAQ
Q1: Why is my report returning a blank table with no data?
A: This usually happens when too many conflicting filters are applied at the same time. The system requires transactions to meet all selected criteria to appear.
Solution: We recommend starting with just one or two essential filters to ensure data populates, then gradually adding more filters one by one to narrow down your results.
Q2: I ran my report, but some data columns are missing. How do I fix this?
A: A column will only appear in your final report if its box is explicitly checked in the setup phase.
Solution: Go back to the Customize Report page and look under the "Fields to Show On Report" header. Ensure that all the data points you want to view have a checkmark next to them.
Q3: How do I change the layout or order of the columns in my report?
A: You can easily customize the column order from left to right by adjusting the fields before saving.
Solution: Under the "Fields to Show On Report" section, simply click and drag any field up or down. Fields at the top of the list will appear as the leftmost columns in your final report.
Q4: What is the difference between "Export Current View" and "Export Full Report"?
A: These two options control how much data is pulled into your downloaded file:
Export Current View: Exports only the specific columns you checked and arranged under the Fields to Show On Report section.
Export Full Report: Exports the filtered data set, but automatically includes all possible system fields and columns available for debt records, regardless of whether you checked them.
Q5: Why are certain payment gateways missing from my filter choice selection list?
A: The Gateway selection filter dynamically populates using only the active, verified payment gateways currently set up inside your corporate account profile.
