This article describes how to enter contact payment details using a credit car, configure mandatory credit card requirements, and assign role-based editing permissions within the FORTH system. It was developed for CRM administrators, enrollment managers, and intake specialists.

Overview
Managing customer payment details securely prevents enrollment delays and reduces manual entry errors. FORTH provides centralized controls to store credit card data, enforce mandatory card collection during intake, and restrict unauthorized edits. System administrators can customize these workflow settings by file type and user role to maintain compliance and security across all client accounts.
Prerequisites
Administrative permissions to access Enrollment Settings, or standard agent access to the Client Dashboard.
An active contact file created within the FORTH CRM.
How to Access
Log in to the FORTH CRM.

To add payment information for a client,
Click the Contacts tab and select a contact file.
From the Client Dashboard segment of the contact's file, click the Credit Card nested tab.

To configure system requirements or user permissions,
Click the Enrollments tab.
Select Settings in the navigation bar.
How it Works
Adding a Credit Card
Click the Credit Card nested tab.
Complete all required payment information fields.
Click Save Card at the bottom left of the page.
Setting Credit Card Requirements
Enforce credit card collection prior to client enrollment to streamline payment processing and automate status updates.
From the Enrollments tab, select Settings.
Select the target file type (such as debt settlement or business loans) from the dropdown menu.
Note: Configure distinct enrollment settings for each file type you manage.
Scroll to the Workflow Settings section.
Select the required options for Require Credit Card or Require Either Bank of CC.
Click Save Settings.
Configuring Role Permissions
Restrict users from modifying or viewing fields in the Credit Card tab based on their assigned role.
Navigate to Enrollments > Settings.
Scroll to the Role Assignment Settings section.
Note: Users must be assigned to a contact based on their user role before reaching the specified step in the enrollment process.
Select the user role that triggers the credit card requirement and specify if the requirement occurs before enrollment.
Click Save Settings in the top navigation bar.

Troubleshooting / FAQ
Q: Why cannot a user edit fields in the Credit Card tab? A: Check the user's role under Role Assignment Settings. If their assigned role lacks permission or if the contact file has passed the enrollment trigger stage, editing capabilities are restricted.
Q: Can I set different credit card requirements for different file types? A: Yes. In Enrollments > Settings, select the specific file type from the dropdown menu before adjusting options in Workflow Settings.
